How to submit digital images for competitions and evaluation evenings

The club programme is worked out at the beginning of each year and indicates which dates competitions and evaluation evenings fall on.  It also indicates the set subjects for competition evenings.

Members must email their prepared images to helderbergphoto+entries@gmail.com to be received no later than 18:00 on the day before the competition or evaluation evening.

Image files must be submitted in JPEG format and must be no larger than 1400 pixels wide and 1050 pixels high.

When saving the resized image, an appropriate JPEG compression ratio must be selected in the photo editing software to ensure that the file size does not exceed 500KB (kilobytes). Please note that this is an increase from the previous limit of 350KB and no leeway will be given. File sizes in excess of 500KB will be rejected.

The club uses IrfanView to display the images at meetings  It is freeware and may be downloaded from the IrfanView web site if you would like to use it to test the displaying of your images prior to sending them.

The following file naming format must be used;

DX_name_title.jpg where:

D is O for open section on competition evenings,
D is S for set subject section on competition evenings
D is E for evaluation on evaluation evenings.
X is the number of your entry in the section, 1 or 2.
_ (the underscore character) is a separator.
name is the author’s name, maximum 12 characters including spaces.
_ (the underscore character) is a separator.
title is the photograph’s title, maximum 18 characters including spaces.
.jpg is the file extension, indicating a jpeg file.

The name and title need not contain spaces but each word must be capitalised. If the lengths of 12 and 18 for name and title are insufficient, you may use abbreviations; in which case you must include the full names and titles in the text of your e-mail message. These full names will be used on the scoring sheet.

Examples could be;

O1_Mike Smith_Golden Gate.jpg

For Mike Smith’s first entry in the open section Titled “Golden Gate”.

S2_PEaton-Jones_CathedralDoor.jpg

For Penelope Eaton-Jones’ second entry in the set subject titled “Detail of Cathedral Door”.

Note

Your submissions may be rejected without notifying you in the following cases;

  • If your e-mailed entries are not received by 18h00 on the day preceding the competition or evaluation evening.
  • If your images are larger than required in either pixel dimensions or file size.
  • If your image files are not named correctly.
  • If your image file names contain abbreviations and the full names and titles are not supplied in the e-mail.
